Videoconferencing and Audio-Video Production Services

The State of California is seeking a qualified vendor to deliver comprehensive videoconferencing and audio-video production services. The selected contractor will support both in-person and virtual meetings through AV support, live webcasting, audio and video production, and ongoing technical assistance. This includes the hosting of online audio and video records, as well as the preparation of archival copies with closed-captioning, available online and via flash drive.

Responsibilities involve transporting and setting up all necessary equipment for video production, AV presentations, visual aids, and live webcasting. The vendor will test all equipment and feeds—including Zoom webinar feeds for remote participation—to ensure smooth operation. Pre-meeting electronic presentations will be reviewed for potential issues to avoid any interruptions during events. The contractor must provide all technical support required for effective video and audio capture, encoding, and streaming, meeting minimum standard video resolution.
