Seeking vendors interested in supplying a workorder system; full RFP details are not currently available.

Proposal must be from an established business providing similar services.
Submit business description, client list, and employee count.
All proposals must be submitted online via the Town's Bonfire Procurement Portal by the deadline.
Vendor must sign Certificate of Non-Collusion and State Taxes Certification Clause.
Proposal must be signed by an authorized agent.
Include a statement of compliance with the RFP, clearly stating any exceptions.
Furnish sufficiently trained and competent personnel.
Provide adequate contract orientation for all staff.
Remove unsatisfactory personnel within 24 hours of request.
Install and roll out the program by the specified date.
Respond to software issues/repairs within 72 hours and emergency requests within 24 hours.
Proposed system must serve Admin/Tech, Highway, Structures & Grounds, and Water Pollution Control divisions.
Proposal must include a complete system description, required equipment, operational details for divisions, and at least five references from other public works departments.
Proposal must include training programs, customer service program, data transition plan, and warranties.
System must be cloud-based and mobile-friendly.
System must include a unified GIS-based map interface.
System must allow logging hours for different employee classes and equipment usage.
System must provide full functionality for field crews, including photos, notes, order closure, and offline capability.
System must offer a public-facing interface for residents to report issues.
System must enable real-time tracking of parts and materials.
System must include management dashboards for tracking response times, backlogs, and costs.
System must feature a Preventative Maintenance Program and Capital Forecast ability.
Vendor must provide strong, responsive, continuous customer service, ideally with one client manager.
All project, engineering, and technical support personnel must be based in the continental United States or Canada.
System must meet Web Content Accessibility Guidelines (WCAG) 2.1 Level AA by April 26, 2026.
Servers must be located in the US or Canada.
System must be easily accessible and usable across all devices without reliance on mobile apps.
Vendor must provide initial installation and data entry for all DPW amenities.
Annual subscription costs must include maintenance, support, and warranty.
Explain system upgrade process.
Provide information on the cloud environment, including data centers, redundancy, backup, security measures, SLAs, and uptime guarantees.
Detail cybersecurity approach, including dedicated team and response plan.
Software must support different levels of management access.
System must have email/communication capabilities, including individual, bulk, scheduled, and tracking.
List anticipated support services/documents required from the Town for initial configuration.
Explain support and resources for project implementation, configuration, and staff training.
Provide a detailed description of software and database versions.
Offer a practice site for evaluation.
Summarize unique business offerings.
Provide proof of financial solvency.
Price proposals must be submitted separately from technical proposals, with no price references in the non-price proposal.
