The State of Minnesota is seeking a vendor to provide services for a one-day Workers' Compensation Summit, scheduled to take place on one of several designated dates in October. The event will cater to an estimated 250–300 attendees, with access to the venue required the evening prior for setup. The facility must offer ample on-site or nearby parking, preferably free or at a maximum rate of $11.00 for all-day parking, and does not require a block of hotel rooms for overnight stays.
Accessibility is a priority, with requirements for accessible parking, sidewalks, elevators (if applicable), restrooms, and a locked lactation room for nursing mothers. Coat racks with hangers for all attendees must be provided. The vendor must supply up to five breakout rooms, each seating 40–75 participants, located near the general session space and available from 8:00 a.m. to 4:30 p.m. The State reserves the right to provide its own audio-visual equipment without penalty.
Continental breakfast service is to be included, featuring a variety of beverages and food items such as coffee, teas, juices, baked goods, yogurt, fruit, spreads, and more, served from 8:00 a.m. to 9:00 a.m. The contract for these services will be for a one-year period.
