The agency is seeking proposals for a web-based internal affairs case management software and database platform. The platform must facilitate statewide investigation entry, tracking, and management, offering the flexibility to customize field names, menu selections, and other modifications to meet agency requirements. Access should be available for an unlimited number of users and workstations, with user permissions administered to maintain confidentiality and prevent unauthorized access to investigations.
The solution must provide web-based access that is compatible with most internet browsers and support varying levels of access. Essential features include the capability to block access for selected users, robust document storage (supporting audio, video, images, Word, PDF, and more), and the assignment of cases and tasks to individual investigators with workflow functionality for review, approval, and customizable due dates and notifications.
Additionally, the system must offer logging and tracking of user access and changes with an accessible audit trail. It should support the export of ad hoc statistical reports with customizable data points and include corrections-specific data such as inmate identification numbers and facility locations. The solution should also enable linking reports by inmate or employee as involved parties. The contract term is set for three years.
