The university is seeking a vendor to provide a comprehensive travel and expense management platform designed to handle end-to-end travel workflows, expense processing, and P-Card reconciliation. The platform must integrate seamlessly with the institution's existing systems, ensuring compliance with institutional and regulatory standards, and offering an intuitive, scalable, and secure user experience across multiple departments.

Key requirements include pre-travel approval workflows, easily configurable platform features tailored to the university’s needs, and advanced capabilities such as machine learning (AI) for auditing and compliance. The solution should support guest travel, delegated booking, budget availability checks, encumbrance management, and integration with third-party banks. Additional functionalities required are AI-driven audit tools to detect duplicates and compliance issues, comprehensive booking integrations with airlines, hotels, rail, and rental car companies, a native mobile app, intuitive user interfaces, customizable approval workflows and notifications, and flexible chart of accounts and expense types.

Questions related to the RFP must be submitted by April 3, 2026. A non-mandatory pre-proposal conference is scheduled for April 7, 2026. The initial contract will span three years.
