The State of New York is seeking a comprehensive software solution to manage study abroad and international partnership programs across its campuses. The desired system must track students throughout the entire process, from initial application to their return, and support secure, campus-wide information sharing. Key functionalities include workflow automation for students, faculty, and partnership approvals; an online student application portal; and integration with institutional systems while ensuring compliance with data privacy and accessibility standards.
The software should feature a public-facing web interface with a program catalog, advanced search options, and support for multiple types of study abroad programs. It must provide automated email and SMS reminders, activity logging with date/time and user stamps, and robust document upload and management features. Additional requirements include customizable workflows and search capabilities, application status tracking, batch application updates, and a centralized partner institution database with agreement and contract storage. The system should also offer online registration for faculty, staff, and independent student travelers, real-time travel itinerary tracking and reporting, emergency contact management, and mobile-responsive interfaces. Integration with tools such as Outlook and Google Maps, as well as course approval workflows, is also required. The contract term for this engagement will be five years.
