The university seeks a vendor to provide a comprehensive, campus-wide Customer Relationship Management (CRM) system designed to unify all Student Recruitment and Admissions functions under a single platform. This solution will replace multiple siloed CRM systems currently in use across various admissions departments and form the backbone of the university's CRM strategy. The selected CRM must be scalable and able to integrate with existing campus systems to support strategic initiatives, foster engagement, and enable data-driven decision-making throughout the student lifecycle—from prospective students and concurrent enrollment participants to enrolled students and alumni.
Key requirements include the ability to automate communication workflows across printed mail, email, SMS, branding strategies, and potentially social media; offer a customizable online application process and decision management; provide robust tools for application review, status tracking, and decision-making; and generate custom reports for recruitment metrics. The system should track the entire application lifecycle, enabling automatic workflow updates based on milestones or submitted documentation.
The CRM must support high volumes of applications and communications (tens of thousands of applications and hundreds of thousands of emails annually), monitor student engagement and success, and offer robust integration with learning management and student information systems such as Canvas/LMS and Banner. Additionally, the solution should facilitate alumni engagement, enable tracking of giving and fundraising activities, provide self-service alumni portals, and support career placement tracking after graduation. Up to five CRM administrators will be involved, with 40–70 additional users requiring minimal or view-only access.
