Student Activities and Fundraising Services

RFP seeks a vendor to organize and manage student activities along with fundraising services for educational purposes in Texas.

Submit proposals and required documents via Bonfire Portal as separate, signed PDF files following a specific structure
Ensure proposals are received by the specified deadline
Submit typed or ink-written prices and quotations; no faxes
Acknowledge all addendums
Notify Procurement Services of any changes to company contact information
Obtain written approval for substitutions or cancellations after award
Specify make or model for 'Brand Name or Equal' items
Do not include Texas State and Local Sales Tax or Federal Excise in the bid/proposal
Agree not to discriminate against employees or applicants based on protected characteristics
Certify eligibility per Texas Family Code Section 231.006 regarding child support
Do not commence work or deliver merchandise without a signed purchase order
Not be indebted to the District
Obtain written approval from the Director of Procurement Services for any assignment or transfer of the contract
Comply with Senate Bill 9 requirements for criminal background checks for covered persons
Accept full responsibility for unauthorized purchases
Provide a cashier's check, bid bond (5% of total bid/proposal amount for $10,000+ contracts), or irrevocable letter of credit
Provide performance and payment bonds (100% of contract price for $25,000+ contracts) or an irrevocable letter of credit
Obtain and maintain required insurance coverage (Comprehensive Automobile Liability, Comprehensive General Liability, Worker's Compensation, Professional Liability) and submit certificates within 10 working days of award
Comply with Clean Air Act and Clean Water Act standards
Furnish supplies/services with the most favorable commercial warranties
Acknowledge that any original work created for SAISD is the sole property of SAISD
Ensure employees adhere to tobacco-free, drug-free, weapon-free, and alcohol-free environment policies
Direct all questions and concerns to SAISD's Director of Procurement Services and avoid direct contact with Board members or Evaluation Committee members
Adhere to blackout period communication rules
Provide a thorough explanation of fundraising service charges, ensuring vendor fee does not exceed 25% per fundraiser
Explain how chargebacks are handled
Describe any prize-based incentives offered
Provide a list of at least five Texas school district clients (active or completed since January 1st, 2020) with similar scope and size, including contact details, services provided, and contract dates
Provide a list of up to five major clients (other than Texas school districts, active or completed since January 1st, 2020) with similar scope and size, including contact details, services provided, and contract dates
Provide a thorough understanding of how funds raised are protected against fraud, misappropriation, and loss
Be bonded with a minimum of $100,000 dedicated to San Antonio ISD for fraud protection
Provide external audit results of processes for accurate accounting of funds
Provide information on any litigation involving client funds
Provide company name, main address, main phone number, and website address
Provide name and version of the proposed system
Provide contact person for solicitation (name, phone, email)
Provide contact person authorized to negotiate terms (name, phone, email)
Provide representative to the District if awarded contract (name, phone, email)
State number of years providing online donation fundraiser system
Disclose if operated under other business or product names
