DESCRIPTION
An organization in Texas is seeking information from vendors regarding a cloud-based event management solution to support an upcoming event under a one-year contract. The required solution must facilitate registration, attendee management, payment processing for exhibitors, and on-site badge printing. All attendee registrations will be free, while payments must be accepted from exhibitors.
Key specifications include the provision of a lead retrieval system for exhibitors, attendance tracking for workshops, and the availability of a mobile application with analytics features. The vendor will need to supply and install a registration module or application on devices for on-site use on the event day. Additionally, the vendor must provide a minimum of six thermal laser printers, at least 2,500 pre-printed badges, a minimum of seven iPads/Tablets or laptops with stands and power accessories, and at least ten handheld mobile devices for attendance tracking.
Interested vendors are expected to meet these technical and equipment requirements to ensure a seamless event experience. All questions regarding this RFI must be submitted by October 22, 2025.
