This request for information seeks vendors to provide a records and information management system for an organization in Ontario, Canada. The goal is to implement a solution that enables the creation and enforcement of organization-wide policies for records retention, including automated application of retention rules to all records based on record type or classification, regardless of format or department.
The desired system should feature user-friendly search, indexing, version control, and audit trails. It must facilitate tracking of physical records and containers, as well as associating physical records with digital metadata and retention rules. Additional capabilities should include support for barcoding or similar tracking mechanisms, management of offsite storage locations, destruction eligibility, and digitization or scan-on-demand workflows.
Interested vendors are encouraged to submit questions regarding this RFI by March 12, 2026.
