DESCRIPTION


The government authority in West Virginia seeks a qualified vendor to provide print operations disaster recovery services. The selected contractor will be responsible for supplying all materials necessary to print and mail documents within a three-hour turnaround. Vendors must have climate-controlled storage facilities capable of housing up to six pallets of materials at any given time, and must provide mail trays and cages for processed mail as well as transportation of mail to a central USPS location seven days a week.

The vendor will need to designate a primary point of contact for coordinating auditor visits and ensuring compliance with all audit protocols. Requirements include providing auditors with workspace, internet access, and appropriate accommodations, along with maintaining security and escort protocols. Auditors should have access to all contract-related areas, including production, storage, IT systems, and records management, without obstruction.

The contractor must demonstrate the operational and staffing capacity to process an average of 10,000 documents per day, with the flexibility to scale up to 25,000 documents daily during peak periods. Additional technical capabilities required include the ability to print PDF and PostScript files, scan 2 of 5 Interleave barcodes during insertion and mailing processes, and prepare mail using approved discounted presort rates to minimize postage costs and enhance delivery efficiency.
