DESCRIPTION


The selected vendor will perform a comprehensive assessment of the organization's existing file systems and digital storage infrastructure. This includes conducting a full inventory of current drives and storage systems, evaluating and addressing redundancies and inconsistencies, reviewing user access permissions, and engaging staff in input discussions to inform the process.

Based on the findings, the vendor will design a unified folder taxonomy tailored to the organization's operations, establish clear naming conventions, recommend effective version control standards, and develop an archive and retention framework compliant with federal and state regulations. The implementation phase involves consolidating and reorganizing files, removing duplicates as appropriate, and applying a standardized structure across the system.

The vendor will also develop a File Governance Guide, draft written procedures, and conduct at least one staff training session to ensure ongoing compliance and user adoption of the new system.
