DESCRIPTION


The purchasing group is seeking a vendor to provide an internet-based employment recruitment software application, along with ongoing maintenance services. The solution must offer a customized online job application process, allowing each applicant to complete and submit their information online. It should also be possible to upload application materials that were received outside the system.

Key features include integration with the group member website for external job postings, the ability to post job announcements and descriptions on both internal and external sites, and saving job posting templates for various job categories such as professional, hourly, temporary, and contractors. Employees of purchasing group members must be able to access and proactively search the applicant database in real-time, with centralized data storage and the ability to upload historical applicant data from existing HR or applicant tracking systems.

The software must allow definition of varying security access levels for hiring managers, directors, and HR personnel, and facilitate printing or sharing of application materials. Additional required functionalities include applicant status updates via email notifications, manager notifications upon closing a job posting, note entry for each applicant, linking an applicant's materials to multiple jobs, and integrated email or messaging to applicants through the application. Scheduling interviews and generating recruitment communications (such as application acknowledgements and appointment letters) should be supported.

Vendors must submit any questions by March 18, 2026. The initial contract term will be one year.
