The State of Iowa is seeking a vendor to provide a comprehensive incoming mail modernization solution. The solution must enable real-time visibility, intelligent automation, and seamless integration with existing systems. Key features include data management activities such as data transformation, validation, and archival, as well as hosting and infrastructure services to support the overall environment.
Vendors should deliver a full suite of hardware, software, and services for managing the end-to-end process of incoming mail. This includes receipt, sorting, triage, scheduled delivery, and the preparation of physical documents for digitization. Additional requirements cover the classification, indexing, tagging, and mapping of metadata for digitized documents, converting physical documents into digital records using scanning and OCR, and ensuring compatibility with downstream systems through middleware and ETL tools.
Secure storage and retrieval protocols for both physical and digital documents are required, along with destruction processes, and support for compliance with state and federal regulations. The modernization effort aims to improve mailroom efficiency, reduce operational risk and reliance on manual intervention, deliver high-quality services to stakeholders, and provide real-time visibility into operations. The initial contract period is five years, and integration with existing systems is essential.
