SUMMARY

Seeking a vendor for full-event production management services for major city events in Georgia, including talent coordination, logistics, and post-event reporting.

DESCRIPTION

A major city in Georgia is seeking a qualified vendor to provide comprehensive full-event production management services for its hallmark city events. The vendor will be responsible for developing engaging activations for large-scale civic and cultural events, such as national and international sporting events and major community celebrations. All activations should foster connectivity, creativity, and family-friendly community engagement.

Services will include curating cultural and music experiences at the primary Beltline activation site and various pop-up locations along the corridor. This will involve programming with a diverse range of local and national artists, musicians, DJs, and performers. The vendor will also manage merchandising and pop-up retail activations, emphasizing participation from diverse local small business vendors.

Key responsibilities comprise all aspects of talent hiring, contracting, and onsite coordination, as well as sourcing, negotiating, and managing third-party services such as staging, audiovisual, tents, lighting, catering, transportation, and security. The selected partner will oversee the entire production process, including staff and volunteer management, load-in and load-out logistics, real-time problem-solving, and administration of waste, sanitation, and restroom facilities. Oversight of subcontractors during setup, event execution, and strike is essential.

Post-event responsibilities will include detailed reporting with attendance metrics, financial reconciliation, and utilization analysis. Interested vendors should note that questions regarding this opportunity must be submitted by December 10, 2025, with a pre-bid meeting scheduled for December 3, 2025.
