DESCRIPTION


A vendor is sought to provide comprehensive conference coordinator services for a fisheries event. The scope of work includes planning and event management, assisting with sponsorship efforts, and overseeing all aspects of event coordination, including on-the-day management, budget tracking, and implementation.

Responsibilities also include providing administrative and logistics support in collaboration with the Director of Fisheries and Integrated Resources, as well as the Conference Planning Committee. Specific duties encompass venue planning and logistics (venue booking, technical needs, menu planning, and accessibility), identifying and soliciting presenters, facilitators, keynote speakers, and leaders for activities, as well as handling participant and sponsor outreach.

The vendor will prepare and distribute conference materials and graphics, such as programs, agendas, digital elements, social media content, signage, and feedback forms. Additional tasks involve developing sponsorship packages for private sector engagement, coordinating attendees and presenters, managing logistics both online and onsite, and handling financial reimbursements and payments, as necessary.
