The selected vendor will provide comprehensive event production and design services for the United States Freedom 250 celebratory event scheduled for July 2, 2026. Services must include the provision of check-in and security staff, musical instruments for performers, as well as walk-through metal detectors for security screening. The event will be held in a hotel ballroom that can accommodate 1,400 guests, featuring a large main performance and speech stage, LED screens, an AV production area, two large bars, two main catering stations, projectors, and rope and stanchion for crowd control in the ballroom and security areas.
The vendor will supply essential utilities including power and wired internet access. Detailed physical design elements are required, such as banners, bunting, posters, wall hangings, printed postcards, signage, tablecloths, skirting, table decorations, flowers, potted plants, an LED photo wall, and a red carpet for the receiving line. Technical services include providing wireless microphones, LED screens for the lobby photo wall display, AV carts, tables, and compatible A/V connections to in-house sound and projector systems, along with technical support for audio-visual equipment.
