An event planning firm is sought to deliver comprehensive management services for a ground-breaking ceremony in Florida. The selected firm will oversee all aspects of event coordination, from the initial concept through post-event breakdown.

Responsibilities include developing a detailed event plan, master timeline, and production schedule, as well as conducting site visits to assess layout, logistics, and infrastructure requirements. The firm will coordinate with internal stakeholders, executive leadership, and dignitary representatives, manage all vendor relationships, and implement contingency plans for weather, transportation, safety, and emergency situations.

Additionally, the event planner will assist with program development, run-of-show, and speaker scheduling, ensuring effective audio/visual coordination including podiums, microphones, and sound systems. Responsibilities also cover scripting, cue sheets, stage management, and speaker coordination. The vendor must arrange for temporary power generation to support all audio/visual, lighting, stage, and vendor needs, ensuring that all power distribution is safe, code-compliant, and managed by qualified technicians.
