This RFP seeks a qualified vendor to provide comprehensive event planning and production services for a Juneteenth celebration. Responsibilities include developing a complete event concept, recommending the event title, date, time, and location, and creating and managing the planning timeline. The vendor will coordinate event logistics from inception through completion and serve as the primary organizer responsible for the overall implementation.
Key duties include designing event programming, coordinating activities, securing performances and presentations, and incorporating educational, cultural, and historical elements relevant to Juneteenth. The vendor will manage day-of setup, oversight, and breakdown, arrange for staffing, volunteers, vendors, performers, and speakers, and ensure a safe and professional event environment. Additionally, the vendor must provide a promotional and community outreach plan, work collaboratively with agency staff on approved messaging and branding, and implement strategies to attract attendees and foster community participation.
