Event Planning and Management Services

Opportunity Home in Texas is requesting comprehensive event planning and management services to support a variety of organizational events. The selected vendor will be responsible for all aspects of pre-event planning, including conducting consultations to understand event objectives, attending planning meetings, developing concepts and themes, and managing project plans, budgets, and timelines. Regular communication and proactive updates regarding event progress will be essential.

A key component of the services required is vendor management. The vendor will assist in identifying, evaluating, and coordinating with event vendors and venues in accordance with established procurement guidelines. This includes maintaining an up-to-date list of approved vendors, facilitating all vendor communications, and ensuring timely delivery of contractual obligations.

In addition to planning and vendor oversight, the vendor will handle all event logistics and operations. This involves organizing meeting schedules, conducting venue walkthroughs, developing production and deployment schedules, and liaising with venue staff and third-party service providers. On the day of each event, the vendor will oversee setup, equipment and furniture rentals, audiovisual needs, signage, and the coordination of event staff and volunteers to ensure smooth execution and successful outcomes.
