Event Management and Registration System

A New York-based agency is seeking a cloud-based event management and registration system to support a range of activities, including conferences, competency-based certificate and faculty development programs, individual workshops, and virtual events. The desired solution must offer comprehensive event management and registration services with built-in evaluation and survey capabilities, abstract and presentation management, as well as tools for managing exhibitors and sponsors.

The platform must be fully compatible with computers running Windows and MacOS, and it must be hosted entirely within servers located in the continental United States. Accessibility is a crucial requirement, and both web- and non-web-based components must conform to applicable accessibility guidelines; evidence of compliance, including testing results and documentation, is required. The system should offer flexible account administration, accommodating different levels of access, along with implementation training and ongoing support.

In terms of event management features, the system should allow for the creation and customization of multiple event types with tailored registration processes. Registration workflows and pricing must be configurable for various participant classifications such as individuals, groups, and exhibitors/sponsors. Additionally, secure financial processing is essential, with support for credit card payments, multiple payment options, and the provision of relevant security certifications. The contract for this project is expected to cover a five-year period.
