This RFP seeks an event coordinator to provide comprehensive planning, coordination, and operational management services for a multi-jurisdictional open streets event in California. The event aims to temporarily transform major corridors into safe, car-free public spaces that promote active transportation, community engagement, and support for local businesses.
The selected contractor will oversee all phases, including pre-event planning, stakeholder coordination, logistics management, event programming, and post-event evaluation. Responsibilities include developing a detailed event timeline, coordinating with city officials and emergency services, setting up repair stations and rest stops, and ensuring the safety and smooth operation of the event. The coordinator will manage community engagement activities, lead outreach to local businesses and residents, and coordinate with vendors, partners, and the media to ensure effective promotion before and after the event.
Additionally, the provider will take charge of staffing and volunteer management, from recruitment and training to overseeing day-of-event responsibilities. On-site, the event manager will handle real-time troubleshooting, ensure efficient execution, and organize post-event surveys to gather feedback from participants, vendors, and other stakeholders.
