The organization seeks a vendor to provide and implement an enterprise-level social media management software solution across all departments and units, with future expansion plans to include additional System Institutions. This platform must support role-based permissions and tiered access levels, ensuring secure and flexible control for a variety of user roles such as admin, unit admin, contributor, reviewer, viewer, and read-only. Authorized platform users must have 24/7 access to all connected social media accounts.
The initial deployment will support 50 active users, with scalable capability to accommodate over 100 users without significant product reconfiguration. The platform should offer intra-platform communication features, including commenting, tagging, and task assignment tools to enhance content review and audience engagement. It must also provide multi-platform content creation, scheduling, and publishing, including asset management (storage, tagging, search, and version control for media files), and AI-assisted caption or content generation capabilities.
Additional requirements include real-time monitoring of keywords, phrases, and topics relevant to both university and unit levels, geolocation filtering, and the ability to edit drafted posts for individual platforms within the publishing tool. The tool should deliver social listening features to surface trends, sentiment, conversation themes, crisis signals, and competitive insights. Historical performance data and listening datasets must be accessible for reporting and benchmarking, alongside automated scheduled reporting via email and support for long-term data retention; vendors must disclose their data retention policies.
The contract period will be for one year. A pre-bid meeting is scheduled for March 13, 2026, with questions due by March 16, 2026.
