The corporate law division of an organization in British Columbia is seeking a vendor to provide a legal Email Management System (EMS). The system will support the efficient and secure management of emails, documents, and related case materials. It must offer capabilities to ingest, organize, search, retain, and retrieve a high volume of legal correspondence and documentation, as well as support features like AI-driven classification, tagging, and content analysis.
Key requirements include direct filing of emails from Outlook into matter-specific folders, maintaining both metadata and version consistency. The EMS should provide structured workspaces for each legal file, centralizing documents, emails, and associated content. Additional features must include profiling, tagging, unified search across emails and documents, version control, metadata tagging, and audit trails to ensure legal integrity and traceability. Vendors should have provided a comparable email management system to at least three active clients for at least three consecutive years and must deliver comprehensive training to administrators, legal staff, and support teams.
The contract will have a five-year duration. Vendors are required to submit any questions regarding the RFP by March 18, 2026.
