Provide online tutoring services for Utah State University students in online degree programs.
Offer tutoring in specified subject areas including Accounting, American Sign Language (ASL), Anatomy & Physiology, English, Economics, Biology, Chemistry, Computer Science, US History, Intro to Psychology, Math (Developmental, Algebra, Trigonometry, Calculus), Microsoft Office, Political Science, Spanish, Sociology, Statistics, Web Development (HTML, CSS, WordPress), and Writing (Undergraduate/Graduate).
Provide essay review services, synchronous, and asynchronous tutoring.
Allow students 24/7 year-round access to synchronous tutoring during academic semesters.
Enable students to schedule future online synchronous tutoring sessions.
Provide relatively short turnaround times for asynchronous tutoring questions and essay feedback.
Allow students to request a specific tutor.
Implement a method to limit service usage per student (e.g., hours or essay submissions).
Utilize an effective queue system for high traffic times or busy tutors.
Provide collaboration tools including chat, live audio (phone/VOIP), whiteboard, discipline-specific notation tools, image sharing, and document sharing.
Enable scheduling of small groups for collaborative tutoring or study sessions.
Accept redirection for students accessing the application from third-party websites and Canvas LMS.
Integrate with USU’s authentication protocols via Shibboleth and SSO.
Record, store, and retrieve data on individual student usage of services.
Provide students with current usage information and notify them near usage limits.
Meet all applicable ADA compliance regulations, including Section 508 of the Rehabilitation Act and WCAG Level AA specifications.
Provide ADA certification and comply with FCC regulations regarding advanced communications services.
Maintain confidentiality of students’ personal information, including FERPA regulations.
Support student access using mobile devices and multiple mobile platforms.
Provide SaaS application hosted by the vendor.
Offer 24/7 end-user technical support with a maximum 1-hour callback time for system operation issues.
Include all product upgrades and enhancements during the license period.
Provide unlimited archive storage on host servers for student sessions.
Offer access to all associated online resources, training materials, and user guides.
Provide online, on-demand access to archives of synchronous and asynchronous tutoring sessions for students and colleges.
Provide online, on-demand usage reports, student reports, and student satisfaction reports to colleges.
Enable easy access to tutor evaluation and complaint forms and processes for students, with routine review and data sharing with USU staff.
Provide initial and ongoing training and marketing support for faculty, students, tutoring center staff, and administrators.
Provide evidence and documentation of tutor training quality and frequency.
Disclose the percentage of tutors with doctorates, masters, bachelors, and associate degrees specific to their subject areas.
Train tutors to guide students to discovery and understanding, develop formal writing, recognize/correct grammar errors, and inquire about assignment types.
Train tutors through methods aligning with ACTLA effective practices and/or CRLA guidelines.
Ensure tutors do not simply give answers, edit papers, or complete quizzes/exams for students.
Provide specific essay review services including thesis clarification, referral to outside sources, grammar/usage practice, MLA/APA resources, librarian services, and proofreading techniques.
Describe protocols for handling system breaches, including client notification.
Detail how system updates, patches, and upgrades are handled and scheduled, including typical downtime.
Describe security devices deployed and whether a dedicated 24/7 Information Security Team monitors servers and networks.
State the frequency of security audits and cite the conducting organization.
Indicate if web applications have been independently reviewed for security problems and cite any security certifications.
Describe the system recovery process in case of data corruption or infrastructure destruction.
Identify the Tier Level rating of the data center (if owned) and whether buildings are built to Essential Services standards.
Describe data hosting and storage methods.
Explain support for a high-availability environment (redundant systems, geographic diverse data sharing).
Provide a scaling plan for thousands or hundreds of thousands of users and metrics for response time as concurrent users scale.
Explain the responsive design approach and how all devices are served on the same URL.
Describe how 24/7 system availability is accomplished.
Detail student information entry, automation processes, and available APIs.
Indicate video technology used and how low bandwidth issues are addressed.
Provide expected wait times for on-demand tutoring and turnaround times for essay reviews.
Describe Quality Assurance procedures for timely and accurate issue resolution.
Explain support for students with languages other than English and students with disabilities.
State service level agreement metrics for student satisfaction and help desk response time, and propose penalties/earn-back structures for missing SLAs.
Describe how content from a digital whiteboard will be communicated effectively to a non-sighted student.
Provide recent outcomes of tutoring services, including subjects tutored, student/faculty/college satisfaction.
Provide evidence of three years’ experience in online tutoring services with other colleges/consortia.
Provide at least two references from clients of similar size, structure, and complexity.
Provide a detailed timeline for implementing the scope of work, indicating if services can start in Fall 2026.
