DESCRIPTION

A government agency in California is seeking a vendor to provide a modern electronic fax (e-fax) migration and centralized solution. The initiative involves replacing existing analog fax lines and consolidating current fax services into a unified system to streamline administration, improve reliability, and support ongoing operational needs. The selected vendor will be responsible for integrating approximately seventeen analog fax lines and about ten existing e-fax lines into the new platform, as well as configuring, installing, and testing all required components.

The proposed system must ensure secure transmission and receipt of confidential information through features including encryption, access controls, and audit capabilities. Compliance with all applicable federal, state, and local privacy and data protection regulations is required. Furthermore, the solution must support records retention and disposition requirements by allowing for electronic storage of faxed documents in designated network folders, in line with the agency’s records management policies. The vendor must also ensure that fax transaction logs are retained as specified by regulatory requirements, and that sensitive documents have secure storage and controlled access on shared drives.
