A healthcare organization in the UK is seeking a vendor to supply a secure and advanced digital dictation system to enhance clinical documentation workflows. The required solution should support high-quality audio recording via multiple devices, including PCs, mobile phones, and both portable and fixed dictation hardware. Essential features include pause, rewind, and edit capabilities during dictation; automatic audio quality optimization; and real-time speech recognition with an option for manual transcription.
The system must ensure compatibility of dictation files with Microsoft Word and integrate seamlessly with Windows operating systems, modern web browsers, and patient administration systems. Additional requirements include customizable workflows for approvals and reviews, automatic and manual assignment of transcription tasks to medical secretaries, and priority-based job queue management. Role-based access control is necessary for various user groups, alongside administrative functions such as user management and password resets. Security is paramount, with end-to-end AES-256 encryption mandated for audio files, and a real-time dashboard should provide visibility into dictation and transcription statuses.
