Cultural Event Promoter Services

A Florida-based agency is seeking a qualified vendor to deliver full-service cultural event promotion and management, with an emphasis on celebrating Haitian and Hispanic communities. The selected promoter will be responsible for comprehensive event planning and coordination, including securing venues, obtaining permits and insurance, coordinating technical aspects such as staging, sound, and lighting, and developing detailed event timelines and schedules.

The scope of work also includes programming and performance management, which involves recruiting and managing artists, musicians, cultural performers, and guest speakers. The vendor will curate programming that authentically reflects both Haitian and Hispanic cultures, ensuring entertainment is family-friendly and inclusive.

Additionally, the vendor will oversee all marketing and promotional efforts, including the design and distribution of materials across print, radio, social media, and web platforms. Outreach to local businesses, schools, community groups, and the development of partnerships with organizations serving the Haitian and Hispanic communities will be key responsibilities.

On the day of each event, the promoter will manage event staff, coordinate security, oversee volunteers, handle vendor logistics, and serve as the main point of contact for agency staff. All questions regarding this opportunity must be submitted by December 5, 2025, and the contract will be for a one-year period.
