A New York agency is seeking a qualified vendor to implement a comprehensive, user-friendly counsel case management system. The solution must accommodate 14 core users or software licenses initially, with the ability to scale by adding additional users or licenses over a 10-year term.
Key requirements include robust functionality for managing assignments and tasks, automated notifications and alerts, and quick access to common user functions. The system should enable users to create and customize agency-specific form letters using system data, securely store and collaborate on documents and digital assets, and generate documents that auto-fill from case information. Advanced search capabilities, standard and custom reporting, document uploads (including formats like PDF, Word, and JPG), and secure file sharing features are essential.
Additional features include ad hoc query tools, master indices for entities such as person, organization, and location, as well as role-based access controls to restrict information by department or user role. The ability to assign cases across departments or roles is also required. The agency will entertain questions regarding this solicitation until December 1, 2025.
