DESCRIPTION


The client seeks a vendor to provide a cloud-based, Software as a Service (SaaS) Computerized Maintenance Management System (CMMS). The solution is intended to optimize the process for building and location tenants to report and request maintenance, custodial, and project needs. Key features must include real-time insights into work order status, resource usage, equipment maintenance, and budget oversight. The system should offer a web application compatible with Google Chrome and Microsoft Edge, as well as a mobile application for internal facilities management staff operating in the field.

Security and transparency are critical, requiring internal controls, audit trails, and the use of multi-factor authentication for administrative access. The solution must support data security by employing component segregation, firewall rules, API gateways, reverse proxies, or cloud-based network security groups, and should operate on supported OS and application versions. User-uploaded files must be stored outside the web root, with comprehensive document management and configurable work order forms available. Data management capabilities should include data validation, historical data retention, integrity checks, and detailed error reporting. Regular data backups must be performed, with backups stored within the contiguous United States and periodic verification of backup success. The system must also ensure data integrity during version upgrades and audit archiving processes in compliance with specified standards.

The chosen vendor is expected to deliver a turnkey solution with live technical support available Monday through Friday, 8am–5pm CST. The initial contract will cover a three-year period.
