Computerized Maintenance Management System

A Rhode Island university is seeking a vendor to supply a comprehensive computerized maintenance management system (CMMS). The desired system should provide robust asset management capabilities, allowing for the creation of asset inventories, tracking of asset attributes, and set up of preventative maintenance schedules. The system should support work triggers based on asset condition, time, and usage, and facilitate the creation and management of custom assets. Additionally, the ability to associate assets with maintenance requests and work activities is required.

The CMMS must enable request management, allowing students, staff, and various university departments to submit maintenance requests through multiple channels such as smartphones, phones, and web interfaces. The system should help prevent duplicate requests and allow for the association of multiple tasks and work orders to individual requests. For work management, the vendor should provide tools to create, assign, prioritize, and track completion of work activities on both assets and non-assets, including functionality to track activity costs to optimize asset lifecycle.

Mobile and field access is an essential component, requiring compatible tablet and smartphone applications that offer full-featured capabilities—including request tracking, asset inventory, and work completion—even in offline scenarios. The solution should also allow configurable data availability within the mobile applications.
