Ohio government seeks a provider for cold beverage vending services with modern payment features. A minimum of seven vending machines must be supplied for a one-year contract.

Provide cold beverage vending services exclusively
Vending machines must be new or like-new condition
Machines must have dollar bill validator and PCI-compliant card readers
Machines should accept contactless payment methods (Apple Pay, Google Pay)
Provide a minimum of 7 cold beverage vending machines
Provide a minimum of 2 soda fountain dispensing machines with 8 dispenser heads and attached ice bin
Responsible for installation, setup, maintenance, and repair of all machines
Service machines within 8 hours of any service call
Replace machines if they break down excessively
Keep machines neat and clean
Provide adequately trained service personnel in uniform
Service machines Monday-Friday, 8:00 a.m. – 5:00 p.m. and Saturday-Sunday, 12:00 p.m. – 5:00 p.m. (Community Center Only)
Reimburse the City for patron money lost due to machine malfunctions
Place a card or sticker with name, address, and phone number in each machine
Coordinate smooth transition with current contractor by July 1, 2026
Stock specific types of products including soft drinks, juices, bottled water, energy/sports/fitness drinks, CO2 gas cylinders, bag-in-box, pre-mix, and cups
Supply a minimum requirement of cola (caffeine and decaffeinated), diet drink, three other flavors, plain water, two flavored waters, and three energy/sport/fitness drink flavors
Grant the City exclusive right to advertise beverages/products at City locations
Dispense beverages in approved cups only
Have at least 3 years of experience in cold beverage vending services of a similar nature
Provide customer service available during regular business hours, with dedicated account managers if needed
Explore availability of energy-efficient equipment
Comply with all applicable laws, ordinances, rules, and regulations
Comply with U.S. Department of Labor, Safety and Health Regulations (OSHA)
Not discriminate in hiring employees
Promptly notify the City of cybersecurity incidents within 3 calendar days of discovery
Indemnify and hold harmless the City
Maintain Liability and Property Damage Insurance of at least $1,000,000 for bodily injury per person, $2,000,000 per accident, and $1,000,000 for property damage per accident, $2,000,000 for all accidents
Name the City as an additional insured
Submit a Certificate of Insurance and Worker's Compensation Certificate
Proposals must be valid for 90 days
