This RFP seeks a vendor to provide a cloud-based, Software-as-a-Service (SaaS) transportation management system. The new solution must offer real-time scheduling, route optimization, and mobile access to improve operational efficiency, coordination of services, and regulatory compliance at both state and federal levels. The platform should feature a user-friendly interface accessible by staff, transportation providers, and clients, and must deliver a robust Application Programming Interface (API) for integration.
Key system requirements include the ability to streamline trip scheduling, dispatch, and billing processes, along with strong reporting and data analytics capabilities. The selected solution must integrate seamlessly with current and state systems to ensure timely and transparent delivery of transportation services. Features such as real-time updates and notifications, GPS tracking, AI-based route optimization, and automation of billing, reporting, and compliance tracking are desired to reduce administrative overhead and enhance transparency for patients and caregivers.
Vendors are encouraged to propose innovative features, and should ensure the system collects and analyzes transportation metrics such as on-time performance, utilization rates, cancellations, and service quality. The platform must support defined key performance indicators (KPIs) such as on-time performance, trip completion rates, safety incidents, and customer satisfaction. The contract period will be for one year, with questions due by March 20, 2026.
