Cloud-Based Room Diagramming Software Solution

The State of Arkansas is seeking a vendor to provide a cloud-based room diagramming software solution to enhance the modeling, collaboration, and visualization of event layouts across a variety of venues. This platform will be utilized for creating detailed, to-scale room diagrams for meeting spaces, incorporating a range of event assets such as seating arrangements, staging, AV setups, aisles, booths, head tables, ADA clearances, and egress paths.

The software must enable real-time collaboration among users, featuring role-based permissions suitable for Sales, Event Operations, and external stakeholders, while supporting internal control over final layout approvals. Integrated 3D visualization capabilities are required to aid in spatial understanding, sightline validation, and client engagement during the planning process. Additionally, the solution should facilitate external publishing of selected diagrams for client and planner review, support planning for multiple venue types—including convention centers, performance venues, ballrooms, and outdoor spaces—and promote the use of standardized room setup templates for consistency and operational efficiency.

Key features include detailed version history tracking, the ability to restore previous layouts, and an intuitive interface designed specifically for event professionals with minimal training requirements. The software must also comply with enterprise security standards, offering secure cloud hosting and robust data protection.
