DESCRIPTION


The State of Texas is seeking a vendor to provide a cloud-based customer relationship management (CRM) and student engagement system. The solution must offer a dynamic query builder with an intuitive interface, enabling users to construct complex, multi-level custom queries using any available data point within the system. Import and export functionality for data is also required.

Key system features include case creation functionality with automatic generation triggers for both prospective and current students—such as based on form submissions or demographic information—along with robust tools for case assignment, tracking, and the generation of custom case load and management reports. The system must support comprehensive reporting across all functional areas, including the ability to track communication plan metrics, form submissions, case volume, and event attendance.

Vendors must ensure the solution enables the automation and scheduling of personalized communications, supporting channels such as email, SMS/text messages, digital, and print. Messages should be targeted to specific groups using system data, with features like variable data fields and communication previews. Additional requirements include customizable, user-friendly email templates optimized for all devices, personalized two-way SMS/text messaging and live chat with real-time notifications for employee responders, as well as integrated event management tools. These tools should allow for the creation of one-time and recurring events, self-registration for participants, automated confirmations and reminders, attendee check-in, and detailed attendance reporting.
