The organization seeks a vendor to configure and provide ongoing support for a cloud-based Computerised Maintenance Management System (CMMS). The required CMMS must facilitate comprehensive call logging and incident management with a range of features, including multi-channel service call logging via browser-based solutions, mobile app, and email integration. Each call must receive a unique reference number, and the system should capture detailed incident information, such as requester details, category, location, involved asset, descriptions, and support for uploading attachments. The system must detect and flag duplicate calls through pattern or keyword recognition and facilitate prioritisation based on severity and operational impact.
Further requirements include real-time status tracking for end users, structured conversion of logged calls into work orders, and robust work order management (assignment, reassignment, escalation, and full lifecycle tracking). The platform must allow uploading of images, documents, checklists, and technician notes, as well as features like overdue call reminders and status-change notifications. Automated customer feedback surveys and real-time dashboards to monitor call volumes, SLAs, technician performance, and ageing analysis are essential. Additional needs include the ability to attach checklists, safety procedures, manuals, work history; manage tasks with scheduling flexibility (reschedule, skip, defer, cancel) with full audit trails; flag deviations in maintenance plans; and customize inspection templates and checklists to align with quality and safety standards.
Vendors are required to submit all questions regarding this RFP no later than April 14, 2026.
