DESCRIPTION


A Virginia-based organization is seeking a vendor to provide a modern, cloud-based commencement ceremony management software solution. The goal is to transform a currently manual registration and ticketing process—spanning staff-led data entry, student communication, ticket distribution, and accommodation management—into an automated, seamless process.

The system should deliver end-to-end support for the planning, coordination, and execution of graduation and commencement ceremonies, including graduate registration, ticket distribution, accommodation requests, name pronunciation assistance, day-of-event operation, and robust guest management. Integration with existing student information systems (SIS) for automated data transfer of graduation candidates is required.

Vendors must provide a public cloud solution (SaaS, PaaS, or IaaS) and designate a specific individual responsible for information security at their hosting facility. The chosen provider must implement effective communication and incident management protocols for security events and system weaknesses. The initial contract period is one year. All vendor inquiries must be submitted by April 6, 2026.
