SUMMARY

Solicitation for a vendor to audit, update, and implement asset tagging for Chromebooks in California schools, including custom software solutions and on-site services.

DESCRIPTION

A school district in California is seeking a vendor to provide comprehensive Chromebook audit, update, and asset tagging services. The selected vendor will be responsible for developing custom software that supports real-time monitoring during the audit process. This software must enable the use of district-provided scanners for asset verification and ensure that Chromebook organizational unit (OU) assignments in Google Admin correspond accurately to locations recorded in the district's asset system. Automated or semi-automated workflows are required to reconcile any discrepancies between records, generate required site summary reports, and reduce manual data errors through automation.

The scope of work also includes conducting a pre-audit site visit to ensure all Chromebook carts are located and charged for the audit team. The vendor will update and power wash all Chromebooks, excluding retiring and damaged units. Physical inspections to check all carts, towers, and checkout areas for assets missing tags are necessary. The project requires live visibility of all scanned devices, including status, location, and timestamps, as well as the identification of missing or out-of-location devices. A project dashboard must be accessible to both the project manager and on-site leads. The process includes direct communication with each site's designated administrator to coordinate audit scheduling, and the vendor will audit, update, and replace Chromebook asset tags as needed.

Questions from interested vendors must be submitted by February 4, 2026.
