A California-based organization seeks a vendor to provide a comprehensive case management software system. The solution must integrate seamlessly with existing technology infrastructure, offer robust security and data privacy features—including encryption at rest and in transit, multi-factor authentication, role-based access control, and legal-standard audit logs—and deliver accessibility features for all users.
Key requirements include multiple reporting channels (such as online forms, email, and phone intake), anonymous reporting options, customizable case statuses, and automated task assignment with deadline alerts. The system must feature visual dashboards, unified databases, advanced search and filtering capabilities, evidence tagging and organization, and secure uploading, storage, and version control.
Additional expectations are secure messaging between stakeholders, mass notifications, communication logging with timestamps, customizable and scheduled report generation, and advanced analytics including graphs, heat maps, trends, and key performance metrics. Data segmentation by campus, allegation type, and timelines should be supported, as well as exportable insights for decision-makers. Integration features required include data synchronization and single sign-on (SSO) support. The contract period will be three years. A pre-bid meeting is scheduled for March 18, 2026, and all questions must be submitted by March 25, 2026.
