The agency seeks a vendor to provide comprehensive event management services for boathouse facility events. The event manager will oversee the administration of events, ensuring effective coordination and accurate record-keeping for both interior and exterior events, including parties, professional meetings, weddings, cocktail receptions, and special dinners.
Responsibilities include managing all event logistics such as facility tours, bookings, catering arrangements, and coordination with outside vendors. The event manager will collaborate closely with the department throughout each event's lifecycle, act as the on-site coordinator for renters, and supervise on-site staff during events. Maintaining organized processes and systems for event tracking, permits, rental agreements, deposits, fees, and coordination with city staff is essential. Additional duties include managing the events calendar in coordination with the city, the University of New Haven, and other rental bookings.
The selected vendor will also work closely with vendors, support staff, and other stakeholders to ensure successful room setup, schedule adherence, and guest comfort. Marketing duties include coordinating and distributing email blasts to generate future event bookings. The contract period is one year, with all questions due by May 11, 2026.
