DESCRIPTION

An organization in Tennessee seeks a vendor to provide and implement an audience data platform capable of unifying audience-related information currently dispersed across multiple systems, spreadsheets, and manual processes. The aim is to establish a trusted, shared platform for seamless tracking of individuals’ journeys and touchpoints over time—including outreach, engagement, and participation—enhancing communication effectiveness and cross-departmental coordination.

The desired solution will centralize audience and engagement data to eliminate manual workflows, redundant data entry, and fragmented tracking. The platform must support secure internal and external data sharing, portals for various collaborators, and robust partner interactions. Key requirements include the migration and unification of existing data; configuration of role-based access, governance, and compliance controls; standardized workflows for outreach, referrals, recruitment, onboarding, partner management, and case/activity tracking; dashboard creation for reporting and status monitoring; and integration of multi-channel communication tracking (email, calls, appointments, mailings, events, and follow-ups).

Additionally, the selected vendor will deliver an implementation plan and timeline, thorough end-user training materials, and develop an ongoing support model. External portal capabilities for collaborators, alumni, referring clinicians, and other key stakeholders are also essential. The contract period is for three years, and all questions must be submitted by April 6, 2026.
