A county in California is seeking a software solution for comprehensive asset management and facilities services. The required platform should support lifecycle tracking of assets, real property and lease management, and robust work order management, including features such as system-generated work order numbers, status alerts, and preventive maintenance scheduling. The software must also allow for seamless integration with the County's enterprise platforms, including Workday for financials, time tracking, and cost centers, as well as compatibility with Active Directory or Entra ID for user provisioning and role assignment. Security features such as Single Sign-On (SSO) and Multi-Factor Authentication (MFA) are mandatory.
The solution should centralize space and property data, improve operational efficiency, extend asset lifespan, and enhance responsiveness to service requests. Detailed reporting and dashboard capabilities are required, with options to export reports in multiple formats including Excel, PDF, and CSV. The software must support mobile access (if applicable), barcode or QR scanning for field-based asset identification, multi-cost center allocation with effective date tracking, and advanced tools for tracking work history and manpower utilization.
Vendors must ensure that the County retains full access, export, and control of its data at all times without dependency on vendor hosting services. User roles, permissions, delegation, and task escalation functionalities are also essential. Collaboration with County staff during system configuration and data migration validation will be required. All vendor inquiries regarding the project must be submitted by October 28, 2025.
