Activation Tracking and Implementation System

A cloud-based activation tracking and implementation system is sought to enhance capital project management, space management, and budget tracking capabilities in California. The desired solution should function as a commercial database management system that supports the initial outfitting and transition phases of activation projects. Key data tracked will include project room content lists, schedules, acquisitions, agendas, and meeting minutes. The system must handle various document types, such as AutoCAD, Revit, PDFs, cut sheets, reports, deliverables, notices, and sign-offs.

For capital project management, the system must report on both new and reused Furniture, Fixtures, and Equipment (FF&E) by department and room, including relevant acquisition codes. Features should also track the disposition of reused FF&E and produce reports that assist in the preparation of procurement documents. An additional feature, "Faces to Spaces," should offer a specialized view for locating and placing all employees, facilitating the creation of temporary wayfinding signage and move labels.

Space management requirements include the ability to highlight rooms by department, with automatic updates reflecting any changes to room numbers or names. The system should support customized reporting and have the capability to store and display images of facility rooms, optionally generating collage reports. For budget development and execution, the platform needs to track costs versus budgets at the departmental, service, or program level, enabling comprehensive financial oversight throughout the project lifecycle.
