DESCRIPTION
The organization is seeking a vendor to provide host services for the 2029 Leadership Forum, scheduled for May 9th, 10th, and 11th, 2029. The host will be responsible for the provision of meeting spaces, event setup, audiovisual equipment, and food and beverage services.
Requirements include one meeting room set in a hollow square arrangement for 25–30 participants on Thursday and Friday, along with an extra meeting room for meals and another for networking on Wednesday. Both supplementary rooms should accommodate 25–30 people, with one set up in rounds of six for meal functions. All meeting rooms must include AV equipment, podium, microphones (handheld and lavalier), screen, and high-speed internet access, as well as water service.
Catering includes two breakfasts and two lunches for 20–25 people, one break service with beverages and snacks, and one dinner for 20–30 people featuring hors d’oeuvres, dinner, soft drinks, coffee, and a sponsored bar. All questions related to this RFP must be submitted by April 29, 2026.
